Chart tabs and record binders for medical practices

A patient chart gets opened, flipped, refiled, and pulled again — sometimes a dozen times a week for years. Whatever holds it together is handled harder than almost any other printed thing in an office. We manufacture chart index tabs, record binders, and manual binders on a bindery floor in Kent, Washington that has been doing precision paper work since 1919, and our tab pricing is published rather than quoted.

What we build for medical work

Custom chart index tabs. Printed both sides, mylar-reinforced, 3-hole punched with reinforced holes, and collated in set order so nobody at the front desk is assembling banks by hand. Our published ladder for 10-tab sets — the common depth for a chart division set:

Five- and eight-tab banks are on the tabs page, and custom banks run up to 12 tabs per set. Our standard sets are letter-size side-tab with a 1/2” extension. Bottom-tab sets and custom chart divider formats — odd body sizes, extended fronts, cut positions other than ours — are quoted per job, same business day.

Poly binders for records and compliance manuals. Extruded polypropylene, one-color screen print, letter size. Poly is water-resistant, wipeable, and the least expensive binder we build, which makes it the right body for chart binders that live on a cart, MSDS and safety data binders, and per-department compliance manuals that get replaced on a schedule rather than kept forever. The ladder runs $8.75 each at 25 units, $6.95 at 100, and $5.90 at 250, on a 1” round ring; a 2” ring adds $1.60 and a 3” adds $3.85. Poly is one of two items on our price list marked call-to-confirm — the numbers are current and market-accurate, but we confirm them in writing for your job before production rather than putting them under contract from a web page. Poly doesn’t take foil, and printed color is limited to one screen.

Vinyl ring binders for operations and credentialing manuals. Heat-sealed rigid vinyl, one-color screen print or foil stamp, two inside pockets, stock cover colors. This is the book you want for policy and procedure manuals, credentialing and privileging files, accreditation binders, and anything that sits on a shelf in front of a surveyor. Vinyl starts at $15.95 each at 25 units, $12.75 at 100, and $10.75 at 250 on a 1” round ring. Manual binders usually want depth: a 2” ring adds $3.00 and a 3” adds $5.75. Practices that keep a house standard — clinic colors, standard tab bank, same spine copy — reorder against it, and we keep the artwork, dies, and screens on file so a reorder is one email and the 10-business-day clock.

Why practices order from a bindery

Most medical supply catalogs resell binders and tabs. The tab printing, the punching, the collating, and the binder assembly happen at three different plants on three different schedules, and the catalog is the last to know when one slips. Here they happen on one floor, which is why we can put a date on a job and hold it.

Confidential handling is the other reason. We treat customer files, patient-facing forms, tab copy, and anything else that arrives with a job as confidential commercial work. Blind shipping is available on request for trade accounts — plain cartons, your name and address on the label, nothing of ours inside, no packing slip with our name on it. What we do not do is claim a compliance credential. We are not a HIPAA-certified vendor and we won’t tell you otherwise; if your compliance officer requires a business associate agreement or a certified handler, that is a conversation to have before you send us anything containing patient information.
